Account & Data Deletion Policy

This policy explains how users, parents and lawful guardians may request deletion of a SpotOnn Sports account and associated personal data. It is intended to support transparent account-deletion practices across SpotOnn websites and mobile applications.

1. Who May Request Deletion

• An adult user may request deletion of their own SpotOnn account.
• A verified parent or lawful guardian may request deletion of a child participant profile that they are authorised to manage.
• An authorised institutional administrator may request deletion or deactivation of institutional access subject to the relevant contractual arrangement and data-controller responsibilities.

2. How to Request Account Deletion

Where account creation is available in the SpotOnn mobile app, SpotOnn will provide an accessible in-app method to initiate account deletion. SpotOnn will also maintain an external deletion-request route or webpage where required for app-store compliance.

If an in-app deletion route is unavailable or the user cannot access the account, a deletion request may be submitted to contact@spotonnsports.com with sufficient information to identify the account.

3. Verification

SpotOnn may take reasonable steps to verify the identity of the requester and, for a child profile, the requester's parental or guardian authority. This protects users against fraudulent or unauthorised deletion requests.

4. What Deletion Means

Once a valid deletion request is processed, SpotOnn will delete or anonymise personal data associated with the account that is no longer required for a lawful or legitimate retention purpose. Deletion may include profile data, saved preferences, participant information, non-required media, and other account-linked data under SpotOnn's control.

5. Data That May Be Retained

Certain information may be retained where reasonably necessary or legally required, including transaction and invoice records, tax or accounting records, fraud-prevention and security logs, dispute records, legal claims, consent or authorization evidence, or data required to comply with applicable law. Retained data will be restricted to the purpose requiring retention.

6. Child Profiles

A verified parent or lawful guardian may request deletion of a child participant profile. If the parent withdraws consent for data processing necessary to provide a Service, SpotOnn may no longer be able to provide that Service to the participant.

7. Media After Account Deletion

Account deletion does not automatically override the separate Media Authorization status for previously created media. A parent or guardian who also wishes to withdraw Media Authorization should make that request under the Photography & Video Media Authorization Policy. SpotOnn will take reasonable steps to remove identifiable content from digital channels directly controlled by SpotOnn where reasonably practicable, subject to lawful retention and previously published material limitations.

8. Third-Party Systems

Where data is held by service providers on behalf of SpotOnn, SpotOnn will take reasonable steps to ensure deletion or restriction is carried out in accordance with applicable agreements and law. Independent third parties may have separate retention obligations or deletion procedures.

9. Timing

SpotOnn will process verified deletion requests within the period required by applicable law and will take reasonable steps to complete operational deletion without undue delay.

10. Effect of Deletion

After account deletion, the user may lose access to bookings, history, reports, stored preferences and other account-linked features. A new registration may be required to use SpotOnn again.
