Privacy Policy

This Privacy Policy explains how SpotOnn Sports ("SpotOnn", "we", "us") collects, uses, stores and protects personal information when you use our website spotonnsports.com, the SpotOnn Sports mobile apps for Android and iOS, and our sports programs, bookings and related services (together, the "Services"). It is written in line with India's Digital Personal Data Protection Act, 2023, the Digital Personal Data Protection Rules, 2025 (as they come into force) and the Information Technology Act, 2000. It should be read together with our Terms & Conditions, Cancellation & Refund Policy and Account & Data Deletion Policy.

1. Information we collect

When you create an account in our app

• Account details: name, email address and phone number of the adult user, or of the parent or guardian who manages a child's profile.
• Participant details: the participant's name and information needed to check eligibility and enrol them, such as age or date of birth, gender where relevant to a competition, school, sport, skill level and the programs, batches or events they join.
• Location: your device location, only if you grant permission. It is used to show nearby programs, venues and events. You can turn it off at any time in your device settings.
• Photos and media: profile photos or other images you choose to upload, only with your permission to access your camera or photo library.
• Payment information: details needed to pay for programs, bookings or events. Payments are processed by banks, payment gateways, UPI providers, card networks or app stores. We generally receive the transaction confirmation and payment status, not your full card or bank details.

When a participant takes part in our programs

• Program records: attendance, sports assessments, fitness scores, performance reports and coach observations.
• Health and safety information: medical restrictions, allergies or injuries that a parent, guardian or participant chooses to share so that coaches can keep the participant safe.
• Photos and videos: taken during SpotOnn activities and events. See section 7.

When you use our app

• Usage and device information: we use Google Analytics for Firebase to understand how the app is used. This collects information such as app screens viewed, features used, app version, device model, operating system, approximate region and crash reports. See section 5.

When you use our website

• Contact form: if you send us an enquiry, we collect your name, phone number, email address, city and any message you write.
• Our website does not use analytics or advertising cookies. See section 6 for the Google Map on our contact page.

2. How we use your information

• To create and manage accounts and verify identity and parental or guardian authority.
• To check eligibility, register participants and manage bookings, batches and events.
• To process payments, send receipts and handle cancellations and refunds.
• To deliver coaching, assessments and performance reports.
• To keep participants safe during physical activity.
• To send transactional messages about registrations, payments, schedules, attendance, cancellations, safety, account security and service matters. Optional promotional messages are sent only in line with applicable consent requirements.
• To respond to enquiries and provide support.
• To understand app usage and fix problems, so we can improve our Services.
• To prevent fraud, keep our Services secure and meet our legal obligations.

3. We do not sell or share your information

We will not sell, rent, trade, license or otherwise provide personal information as a commercial database to any advertiser, sponsor, private company, broker or individual. We do not share your signup information with any third party for that party's own marketing or other purposes.

To run the Services, a limited number of trusted service providers process data on our behalf and under our instructions, subject to contractual, security and confidentiality controls. They may use it only to provide their service to us:

• cloud hosting and data storage providers;
• banks, payment gateways and UPI providers, to complete your payments;
• Google (Google Analytics for Firebase), for app usage analytics and crash reporting;
• Apple App Store and Google Play, to distribute the app and deliver notifications.

Some programs are delivered with independent schools, venues, academies or event partners. Where you enrol through such a partner, authorised staff may access the information needed to run that program for you. These partners may have their own privacy practices.

We may also disclose information if required by law, court order or a government authority, or to protect the safety and rights of our users and of SpotOnn.

4. Advertising and sponsorship

SpotOnn may display advertisements, sponsor messages and partner promotions on its website, apps, events and venues. Advertising revenue comes from placing approved content, never from selling user or child data.

• No data to sponsors. Buying advertising or sponsorship does not give a sponsor access to our accounts, databases, school records or participant profiles. We never provide sponsors with participant or parent names, contact details, school-linked student lists, attendance, assessment or performance data, precise location, payment details, or identifiable media for their independent use.
• Contextual, not personal. Ads are placed by page, sport, event, program or location, because the sponsor bought that placement. We never use a child's profile, history, assessments, attendance, precise location or inferred interests to choose ads for them, and we do not track or behaviourally monitor children for advertising.
• Aggregated reports only. Sponsors may receive totals such as impressions, clicks and overall reach that do not identify any individual. We combine or suppress small groups where needed to prevent re-identification.
• Clearly labelled. Paid content is marked as "Ad", "Sponsored", "Partner" or similar.
• Your choice to engage. If you follow an ad to a sponsor's own website or app, that sponsor's privacy policy applies to what they collect. If we host an enquiry form for a named sponsor, we pass your details on only after you clearly authorise it. For a participant under 18, this must be done by a parent or guardian. We never give sponsors lists of children for marketing.
• Adults only, with consent. If we ever introduce personalised advertising for adult users, we will give notice and ask for consent where required. Child profiles will always remain excluded.

To report an advertisement you believe is misleading, inappropriate or unsafe, email contact@spotonnsports.com.

5. Google Analytics in our apps

Our Android and iOS apps use Google Analytics for Firebase, provided by Google LLC. It collects app usage and device information through identifiers such as the app instance ID. We use this information in aggregate to understand how the app performs and is used. We do not use it for advertising, and we do not configure it to track or build profiles of children.

Google processes this data according to its own privacy policy, available at policies.google.com/privacy. You can limit tracking through your device's privacy settings.

6. Cookies and embedded content on the website

Our website does not set analytics or advertising cookies. Our contact page shows an embedded Google Map. When it loads, Google may set its own cookies and receive information such as your IP address, as described in Google's privacy policy.

7. Photos and videos at our activities

Photography and videography may take place during SpotOnn activities and events. For participants under 18, using identifiable photos or videos for marketing or promotional purposes requires Media Authorization from a parent or lawful guardian. This is a standard part of enrolment and stays in place unless the parent or guardian withdraws it by contacting us.

A sponsor logo appearing in an event photo or video does not mean we have shared the participant's data with that sponsor. Media Authorization for SpotOnn's use does not allow a sponsor to download, republish or use a child's image for its own marketing. Separate, specific authorization will be obtained where required for such use.

8. Children's privacy

Many of our participants are children. For anyone under 18, registration, enrolment, payment, consent and management of the participant profile must be done or authorised by a parent or lawful guardian, who confirms they have authority to act for the child. Children should not create accounts themselves.

• We collect only the information about a child that we need to run their programs.
• We do not track or behaviourally monitor children, and we do not use their data for targeted advertising.
• A parent or guardian can view, correct or delete their child's information, or withdraw consent, at any time. If consent needed to provide a Service is withdrawn, we may no longer be able to provide that Service to the child.

If we learn that we have collected a child's information without a parent's or guardian's consent, we will delete it.

9. How long we keep your information

We keep your information while your account is active and for as long as needed to provide the Services. When you delete your account or withdraw consent, we delete or anonymise personal information that is no longer needed. We may keep limited records where reasonably necessary or legally required, such as transaction and invoice records, tax or accounting records, fraud-prevention and security logs, dispute records, legal claims and evidence of consent or authorization. Retained data is used only for the purpose that requires it.

10. How we protect your information

We use reasonable technical and organisational safeguards to protect your information, including encrypted connections (HTTPS) and restricted access to personal data. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the authorities of a data breach as required by law.

11. Your rights

You, or a parent or guardian on behalf of a child, have the right to:

• access a summary of the personal information we hold about you;
• correct, complete or update your information;
• have your information deleted;
• withdraw consent at any time, which will not affect processing done before withdrawal;
• nominate another person to exercise these rights in case of death or incapacity;
• raise a grievance with us, and with the Data Protection Board of India.

To use any of these rights, email contact@spotonnsports.com. We may need to verify your identity, and for a child's profile your parental or guardian authority, before acting on a request.

12. Deleting your account

You can delete your account using the in-app option, where available, or by emailing contact@spotonnsports.com. Full details, including what is deleted and what may be retained, are in our Account & Data Deletion Policy.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new "Last updated" date. If the changes are significant, we will also notify you in the app, by email or through another appropriate channel.
